Privacy Policy

The Snout Bureau creates personalized pet products. This policy explains what we collect when you open a file with us, how your preview text is written, and how long we keep your information. It covers both of our experiences: The Profession Files (pet-only portraits) and The Companion Chronicles (owner-and-pet portraits).

Information we process

Depending on how you use the site, we may process your email address, your pet's name and details, your questionnaire answers, pet photographs you upload, the generated preview text, the version you select, your product choices, your preview status, timestamps, and Shopify order identifiers. For a Companion Chronicle we also process the owner's name, optional pronouns, the shared-story answers you provide, and one or more owner photographs. Payments are handled by Shopify; we never see your full card details.

How your preview text is written

Your Bureau Preview and Chronicle Preview text is generated with the help of Anthropic, an outside AI writing service. Only your written questionnaire answers are sent to Anthropic.

Photographs are never sent to Anthropic. Neither owner photographs nor pet photographs leave our private storage for preview generation. They are used only by our team to create your artwork after purchase.

We do not use your photographs for facial recognition, biometric identification, or AI training.

Anthropic's commercial API does not use submitted data to train its models by default. Anthropic may retain API inputs and outputs for up to 30 days under its standard API retention policy.

Why we store previews and photographs

We store your photographs, answers, and generated previews so you can leave and resume your session, choose your preferred version, keep an exact record of the wording you chose, connect that chosen wording to your order, produce the matching personalized product, and resolve any customer-support issue afterwards. Owner and pet photographs are stored privately and separately, and are reachable only through short-lived secure links.

Automated abuse protection

Our personalization forms are protected by Cloudflare Turnstile, which checks that a request comes from a real person rather than an automated script.

How long we keep information

Previews that are never purchased — including the questionnaire answers and any owner or pet photographs attached to them — are deleted after 30 days.

Purchased customization and production records are kept for two years after fulfilment so we can reprint, verify, and support your order. Basic transaction records may be kept separately for longer where tax, accounting, fraud-prevention, dispute, or other legal requirements apply.

Marketing emails

We do not send abandoned-preview marketing or reminder emails. If we ever offer optional Bureau updates, the choice will be a clearly explained, unchecked box, and generating a preview or checking out will never depend on it.

Your choices

You may request access to, or deletion of, your information through our contact form, or by emailing hello@thesnoutbureau.com. We verify your identity before deleting records so we do not act on someone else's request. Some limited transaction information must legally be retained even after a deletion request, and we will tell you when that applies.

Sharing

We share information only with the services needed to run the Bureau: Shopify (store, checkout, orders), our hosting and database provider (secure storage of your file), Anthropic (written preview text only), and our print and shipping partners (the details needed to produce and deliver your order). We do not sell your information.
